Privacy Policy

This Privacy Policy is meant to help you understand how Mazhr Oy (later “Mazhr” or “we”) collects, shares and uses personal information about you when you join and use the Mazhr service, and how you can exercise your rights with respect to privacy and processing of your personal data. The service is also governed by our terms of service.

What information do we process and why?

Personal data will be collected and processed so that Mazhr can provide its service to you as a user, for example, for identifying you as a service user and activating the service for providing the different elements of the service to you and for maintaining and developing the service.

We are processing the data also to convey service bulletins and information to you. 

Before users join the Mazhr service and accept this privacy policy we may process their personal data on behalf of our business customers e.g. to help them in their recruitment cases. That processing is governed by their privacy policies and they will obtain the required consent from such users. 

Those persons may be provided an opportunity to join Mazhr service later and, if they decide to join the Mazhr service, they will need to approve this Privacy Policy like other users joining the service. This privacy policy describes the personal data processing after a user joins the Mazhr service.

The legal basis for our personal data processing is partially the consent that we obtain from users upon joining and partially to fulfill the service contract with our users and our legitimate interest. 

Depending on the information you want to upload and how you use the service we may collect the following data from you:

- Contact information such as name, address, phone numbers, e-mail addresses
- Personal photo and video presentation
- Registration information such as username, password and any other unique identifier
- Explanation of the work experience (CV information)
- Explanation of work-related skills such as language skills
- CertificatesInterests and desirable jobs
- Acceptance of User Terms and Privacy Policy
- Direct marketing bans and consents
- User's website and any other information provided by the user himself.
- In addition, the register contains the results of work-life tests performed by persons / users

On your usage we collect and process the following data:

Additionally, the Service stores other actions, such as sent messages, performed by the user in the Service, for now.

Where and how do we collect the information? Is your information shared with others?

We collect personal data from you directly and automatically on your usage of the service. You decide what you post and what you share. In addition to the personal information that you fill in yourself you may create information by usage of the service e.g. by completing self-assessments within the service. You decide who can access your personal data within the service. Some of the information you insert into the service are public (the information that you mark as available to all users), and therefore, can be accessed by all users of the service with capability to search individual users (e.g., recruiting companies). That information will not, however, be presented so that it is connected to you as an individual user, unless you have allowed that.

We use cookies for the purpose of identifying you in our service. Cookie use is a software technique that simplifies the use of the service and enables modification of the Web pages served in line with selections made by the user. User data is stored in ‘cookie’ files kept on the user’s computer and sent back to the server during use, so that repetitive logging during service use can be avoided. You can set your browser to prevent the use of cookies altogether or to report when cookies are used. By using our service, you accept the use of cookies. For the service to function properly, the use of cookies must be allowed. Personal or user data of the user is not stored in cookies located in the user terminal.

We may hand over your personal data for justified use in accordance with the applicable data protection laws and regulations. We engage subcontractors to enable and perform parts of the service. They may have access to personal data so that they can perform their duties but only to the extent required for their performance. Mazhr has appropriate agreements with these parties.

We may also provide access to information to our subsidiaries or affiliated companies and other parties belonging to our group of companies or in connection with any proposed or actual purchase, merger or acquisition of any part of our business or our company.

We may also share your information with any competent law enforcement body, regulatory authority, government agency, court of law or other third party where we believe disclosure is necessary (i) as a matter of applicable law or regulation, (ii) to exercise, establish or defend our legal rights, or (iii) to protect your vital interests or those of any other person.

International transfers of personal data

Your personal information may be transferred to, and processed in, countries other than the country of which you are a resident. These countries may have data protection laws that are different from the laws of your country. Within the limits permitted by the data protection legislation, personal data may be transferred to servers located within and outside the EU or the European Economic Area for storage or processing on behalf of us. We will have appropriate agreements for any such processing.

How do we secure your data?

All data will be stored electronically and information will be collected to Mazhr service database. Only administrators will have access to the database. Such access is protected with user right management. User interface will only show data that is necessary for the tasks of the respective person. The views of the user interface as well as the access rights have been defined based on role and user.

We will use appropriate technical and organizational means to secure the personal data from inappropriate access, accidental or unlawful destruction, amendment, distribution and transfer of personal data as well as from other unlawful processing.

How long do we process your information?

We store your personal information according to the applicable laws (e.g. to comply with applicable legal, tax or accounting requirements) and only as long as required for the purposes described in this Privacy Policy. When the purposes no longer exist, we will erase your data. No one, not even you can thereafter reactivate your account and restore the information. We make observations on the usage of our services and may store information in anonymized form to our own database.

Please note, that some of our services may include public interactive and communication elements, like ability to post comments and participate in discussion forums. Your user name and the content you post may remain there even if we remove your personal information and account.

What are your rights?

You have the right to inspect what information related to you has been stored in the Mazhr personal data files. You have a right to have incomplete, incorrect, unnecessary or outdated personal data deleted or updated according to the applicable laws. 

You have a right to unsubscribe from direct marketing messages and to request that we stop processing your personal data for direct marketing purposes. However, we may still send you notifications concerning our services, such as information on changes or service failures and interruptions.

Users of the service will need to send the request from the e-mail address they have registered in the Mazhr service as their contact information and the response will only be sent to that email address.

In addition to the rights described above you are entitled to make a complaint to the data protection authority, especially in the European Union country where you have your domicile or permanent workplace or where the claimed breach of data protection regulation occurred. In Finland this authority is the data protection ombudsman

Updating your data

We will correct, remove or complement the personal data in our register if it is faulty, unnecessary, insufficient or out of date for the purpose that it was collected upon the respective user’s request. You can make such request to our email address info@mazhr.com
Users of the service will need to send the request from the e-mail address they have registered in the Mazhr service as their contact information.

Amending this privacy policy

We may update this Privacy Policy from time to time in response to changing legal, technical or business developments. When we update our Privacy Policy, we will take appropriate measures to inform you, in accordance with the significance of the changes we make. Last updated on March 21st, 2022.
